Responsibilities

GENERAL SUMMARY:

The Development Assistant supports the Donor Relations team with its goal of providing comprehensive stewardship support for a large major donor base.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Create and maintain information management systems for narrative reports, including databases, schedules, templates, financial reports, Dana-Farber publications index, and an online resource library;
  • Assist team with narrative reporting, including creating the mailing list of donors for each report, customizing cover letters and reports as instructed, and printing, mailing, and filing of donor reports;
  • Assist team with complex mail merges for reports, cover letters, and other donor correspondence;
  • Assist the Associate Director in daily tasks including: management of calendar, phone calls, internal communications, preparation for meetings, and with meeting follow-through;
  • Develop strong working knowledge of resource software, including EMS, ClearView, and Business Objects;
  • Respond to calls from top-tier donors, prospects, volunteers, staff, as well as general inquiries;
  • Provide support during busy event times as needed;
  • Responsible for assisting the entire Division with reaching financial goals;
  • Other projects as necessary.

SUPERVISORY RESPONSIBILITIES:

  • Reports to the Associate Director, Donor Relations
  • This position will seek major decision-making authority from direct supervisor; however, independent decision-making on day-to-day tasks and good judgment are required for working with Institute donors, trustees, senior staff, and confidential information

Qualifications

MINIMUM JOB QUALIFICATIONS:

  • Bachelor’s degree is required
  • This position is considered a “base” for someone pursuing a Development career

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • This position is task-driven, so attention to detail and prioritization are critical
  • Development work requires adherence to confidentiality and the ability to work with high-level individuals
  • Excellent written and verbal communications skills, including proofreading, are needed
  • A self-starting attitude with the ability to work independently and as part of a customer service team is a must
  • Solid computer skills and competency in the Microsoft Office product suite necessary

WORKING CONDITIONS:

Workstation located in typical office setting. Some evening and weekend work may be required. Some use of personal vehicle for business purposes may be required.
