Responsibilities

GENERAL SUMMARY:

Under the general direction and supervision of the HIS Operations Manager the Team Leader is responsible for the efficient flow of transcribed documentation, documentation completion and the release of protected health information (PHI). Assists clinicians and administrative staff with all associated processes, including copy distribution, documentation integrity, documentation completion, ongoing support to staff in the processing of FMLA, Disability, and medical records requests and assessments. The Team Leader will provide supervision, training, education and ongoing support to staff in processes related to transcription controls, documentation completion, and the release of PHI. The Team Leader will also serve in a quality control capacity.

 

PRIMARY DUTIES AND RESPONSIBILITIES:

  1. Acts as a resource for staff. Trains staff and identify training gaps.
  2. Assigns and prioritizes work tasks to staff, monitors work in compliance with policies and procedures for transcription and documentation completion. Monitors transcription and release of information queues on an ongoing basis.
  3. Performs audits and reviews to ensure staff are following processes. Corrects errors when necessary, shares results and issues with staff.
  4. Complete work assignments in accordance with established timeframes.
  5. Provide appropriate and timely problem escalation reporting as well as potential solutions to HIS and IS management as needed.
  6. Provide quality customer service through on-going communication, feedback and follow-through with manager and customers.
  7. Assist in development of documentation of policies, procedures, guidelines and quality control processes. Updates all associated databases timely.
  8. Compiles staff productivity statistics and analyzes data and makes recommendations when necessary.
  9. Participates in the staff performance appraisal process by contributing data, recommendation and goals.  
  10. Trains physicians and other providers on use of dictation system and other systems related to documentation completion.
  11. Communicates and/or resolves system and/or technology issues timely
  12. Communicates and documents personnel issues to Manager.

  • Associate Degree and/or college computer technology courses preferred.
  • Knowledge of health information management principals including processing of medical records preferred.
  • Minimum 3 years health information services (medical records) experience. Prior experience in a lead role preferred.
