The position will report directly to the Director of Maintenance and Operations. The Facilities Operations Specialist will ensure the purchase of quality equipment, components, materials, and tools. Will be relied on to maintain all service contracts. Will be required to coordinate material/parts orders for work requests in a timely manner. Provides project management for operational capital equipment installations.



  • Originate, negotiate and ensure performance of contracts for services and supplies for Maintenance and Operations.
  • Obtain best pricing for new equipment, materials, components
  • Create requisitions and track all invoices.
  • Maintain accurate records for inventory control. 
  • Prepare incident reports for all insurance claims, create associated requisitions and track all invoices.
  • Meet all Purchasing and Office of General Counsel requirements for contracts.
  • Work closely with the department Director to meet budgetary goals for contracted services.
  • Organize and manage 6000 Sq.Ft. stock room and 5 satellite stock rooms.
  • Work closely with department director to meet project timelines and capital budget requirements. 
  • Work closely with EH&S on MSDS records for all chemical products.
  • Manage Maintenance and Operation Capital Projects as designated <100K.
  • Act as a liaison for Operations and the PDC team.
  • Coordinate internal and external processes to ensure all regulatory requirements are met on all Maintenance projects, i.e. PCRA's, 'Above the Ceiling Work Permits' TJC, meet all City, State and National codes. 
  • Create and generate reports detailing inventories, critical equipment and tracking warranties.
  • Maintain all current and future MEP as built drawings through electronic data base.
  • Maintain emergency stock and equipment inventory per TJC requirements (all Buildings)
  • Maintenance and Operations representative for designated committees.
  • Must provide the highest level of personal protection at all times.
  • Other duties as assigned.



  • BS degree preferred, experience working within a trade or facility environment preferred.
  • Knowledge of trade related materials and equipment.
  • Proficient in Microsoft Office 
  • Proficient Math and analytical skills. 
  • Ability to interpret and read diagrams, sketches, blue prints and OM manuals.
  • Knowledge of relevant policies, procedures, and strategies to promote safety on the job for the protection of people, data, property, and the institution.
  • Self starter with a high degree of initiative and responsibility to keep systems reliable and operating at minimum cost. 
  • The ability to arrange things or actions in a certain order or pattern according to a specific rule, procedure, or guideline.
  • Must to able to lift 40 lbs.
  • The ability to communicate, listens, and comprehends information and ideas and work collaboratively with others.
