Responsibilities

GENERAL SUMMARY:

 

The Development Officer raises funds and provides programmatic support to the Assistant Vice President of Special Events and manages a portfolio of 50-100 events each with revenues between $1, 000 -$500,000.This is a frontline fundraising role and the Development Officer is responsible for $500k - $750k in total revenue per fiscal year.

Responsible for assisting the entire Division with reaching financial goals.

 

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Raise funds for Jimmy Fund/Dana-Farber through the management of a portfolio of third party and internal events each year with a value of $500k - $750k. Event assignments can vary from year to year.
  • Support Associate and/or Assistant Director with events as necessary.
  • Draft event strategy, tactics and timeline and revenue goals based on the operating plan.
  • Memorialize those tactics and timelines into Event Management System (EMS), ClearView and other management tools as necessary.
  • Develop expense and revenue projections for internally run events. Work with TPE manager on third party events. Both creating the maximum return on investment and lowest COFR.
  • Implement executional and operational plans for event.
  • Act as liaison and coach to TPEs to ensure maximum revenue at minimum COFR.
  • Work cross functionally with Development Communications, IS, Communications, etc. to develop all necessary marketing materials, as well as with corporate partnerships for sponsorship and in-kind gifts.
  • Work collaboratively with internal or TPE committees, event managers, vendors and participants.
  • Responsible for the recruitment, scheduling, management, and retention of volunteers and staffing for events.
  • Onsite execution of all program elements in a polished and professional manner.
  • Acknowledge and steward individuals and organizations as appropriate.
  • Ensure appropriate paperwork is completed, filed, and memorialized in EMS and PM tools.
  • Foster relationships yielding repeat events and year-on-year revenue growth.
  • Create wrap up reports, budget reconciliation, acknowledgements, and memorialized photo and written documentation for all events.
  • Schedule a minimum of 25 donor visits throughout the year with various event managers, participants, and donors; maximization of donor contact and information capture.
  • Appropriately recognize event committees through attendance at events, written acknowledgements and, when appropriate, presentation of plaques or other tokens of appreciation.
  • Responsible for assisting the entire department, including other business units, reach financial goals; this will be achieved by fulfilling my responsibilities, moving with alacrity toward agreed upon goals, offering to assist colleagues as needed, and putting aside personal agenda or preferences to focus on fund raising to provide patient care and research funding necessary to combat cancer.

 

SUPERVISORY RESPONSIBILITIES:

Reports to Assistant Vice President, Event Fundraising. This position has direct supervision of temporary staff and volunteers, but will seek major decision-making authority from direct supervisor. However, independent decision-making on day-to-day tasks and good judgment is required for dealing with Institute donors, trustees, and senior staff and confidential information.

 

Qualifications

MINIMUM JOB QUALIFICATIONS:

Bachelor’s degree required with minimum 3-5 years of experience in special event coordination, professional fundraising, or sales. Prior special events or donor relations experience preferred.

 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

Detail oriented with excellent verbal and written communication and organizational skills; strong interpersonal skills; strong organizational and time management skills with ability to multitask; possess the ability to work well with all DFCI Departments, donor constituencies of all levels, and committees; manage multiple projects simultaneously; and work independently in a fast-paced environment. Strong knowledge of Microsoft Office Suite is required and experience using databases preferred.

Yes, with TPE managers, patient partners and speakers at events.

 

WORKING CONDITIONS:

Workstation located in typical office setting. Travel and attendance at events during and evening and weekends will be expected/ required. Some use of personal vehicle for business purposes may be required.   Some light lifting for set-up also required.
