This position provides a variety of administrative functions to staff, faculty member/s or department/s. Uses various office software to produce reports, spreadsheets, presentations or other documents as needed. Requires knowledge of Institute policies and practices and may be required to interface with senior management, cross-organizations, internal and external customers and government and community officials which require considerable tact and diplomacy.

Responsibilities

 

GENERAL SUMMARY:

The HR Onboarding Administrative Support Associate provides administrative support to Onboarding and works collaboratively with the HR Talent Acquisition team in support of the Institute’s hiring needs and is responsible for the Onboarding of new hires.

PRIMARY DUTIES AND RESPONSIBILITIES:

 

  • Onboarding of all students and sponsored staff
  • Scheduling Occupational Health appointments for new employees
  • Ensure collection and administration of all paperwork in compliance with Federal and State laws
  • Administer background screen and I-9 forms
  • Attend Orientation weekly
  • Administers abbreviated orientation 3 times per week
  • Responsible for New Hire orientation list
  • Educate managers and staff on hiring and on boarding process
  • Serves as staffing team liaison to external applicants for inquires related to the application process
  • Administrative support on joint Onboarding projects
  • All other duties as assigned.

 

Qualifications

 

 

  • Bachelor's degree in human resources, business, industrial relations or a related field is preferred.
  • This position requires 1-2 years of administrative/office experience. Experience working in a Human Resources Department is strongly preferred.
  • Familiarity with state and federal employment/labor laws and practices helpful.
  • Proficiency with Microsoft Office required.
  • Experience working with an Applicant Tracking System. PeopleSoft experience strongly preferred.
