Responsible for assisting the entire Division with reaching financial goals.

 

PRIMARY DUTIES AND RESPONSIBILITIES:

The Assistant #1 is responsible for providing administrative support to the Assistant Director and JF Golf Program staff members.

 

Provide Administrative Support:

  • Administrative support of annual Sunrise to Sunset event
  • Provide administrative support to the Assistant Vice President and Assistant Director with schedule, expense reports, correspondence and projects.
  • Schedule, prepare meeting agendas and coordinate backup documentation for weekly, quarterly, and other meetings
  • Provide back-up for other assistants with administrative duties, when required and other administrative duties as assigned 

Provide Administrative Support for JFG Tournament Advocacy Program

  • Assist in tracking & scheduling staff attendance assignments for tournaments
    • Update internal systems and Outlook calendar with staff attendance assignments
    • Communicate staff attendance assignments to all relevant DFCI staff and their assistants
  • Assist in tracking of all staff advocacy assignments for new and ongoing tournaments
  • Liaison to Fiscal & Regulatory Department 

3rd Party Support (Advocate):

  • Serve as tournament contact (Advocate) for a portfolio of tournaments
  • Assist with JFG staff-run events and stewardship events as assigned
  • Attend select JFG tournaments to assist in event day activities as needed 

Manage the Daily/Monthly Reconciliation of Golf Program’s Budget:

  • Reconcile Golf Budget against Fiscal Budget reports each month and send misallocation requests as necessary
  • Coordinate all purchases/invoices for approvals and manages payment
  • Main contact with Accounts Payable and Purchasing

  • Reconcile expenses for senior staff

Assist with Corporate Relations for JFGolf

  • Assist with JFG sponsor management & stewardship
  • Support sponsor sales efforts & collaborate with Corporate Partnerships Dept.
  • Ensure sponsor deliverables are fulfilled by JFGolf, as outlined in contracts
  • Oversee annual JFG tournament director sponsorship survey
  • Manage all signage for JFGolf Stewardship Event

JFG Merchandise Program Support

  • Assists with Merchandise Program Planning and Distribution
  • Manages processes for pickup/shipment of 3rd party event merchandise
  • Distributes and tracks high value auction items and merchandise
  • Manages the organization & accurate inventorying of JF Golf storage facilities

Opening Day at The International:

  • Provide extensive administrative and logistical support to Development Assistant #1 and Assistant Director in the management and execution of flagship stewardship golf event in May, which recognizes top tournaments and sponsors of the JF Golf Program.

SUPERVISORY RESPONSIBILITIES:  Reports to Assistant Director and Assistant Vice President.

 

Qualifications

MINIMUM JOB QUALIFICATIONS:

Bachelor’s degree required with minimum 1-2 years of experience in events management.

 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

Detail oriented with excellent communication and organizational skills; possess the ability to work well with all DFCI Departments and donor/volunteer constituencies; juggle multiple projects; and work independently in a fast-paced environment. Strong word processing and Excel skills and working knowledge of Microsoft Office are required.

WORKING CONDITIONS:

This position is located in Boston, MA. Some travel, attending events as well as off-site volunteer committee meetings on a regular basis. Requires light lifting for event set-up. Weekend and night work is required occasionally.
