    The Department of Oncologic Pathology is growing! We are looking to add an Administrative Support Specialist to our team. This role will provide administrative support to our incoming Department Chair as well as oversee a variety of Departmental tasks and initiatives. This role will interface with senior management, affiliated organizations, internal and external colleagues and collaborators. The Administrative Support Specialist will be a valued member of our Departmental Business Office.

    Responsibilities

    Administrative Support Responsibilities -

    • Responsible for calendar management for the Department Chair, including coordination and scheduling of meetings.
    • Coordinate travel arrangements for the Department Chair, as well as laboratory personnel, postdoctoral candidates and visiting speakers.
    • Prepare monthly expense reports, perform Pcard reconciliations, and process requests for vendor payments.
    • Assist with the onboarding of new staff members – visa applications, obtaining keys, access to shared drives, lab coats and notebooks.
    • Prepare general correspondence, letters of recommendations, creates Excel spreadsheets, revises existing PowerPoint presentations and maintains biosketches and CVs.
    • May be responsible for hospital appointment processes, and the maintenance of licenses, CMEs, credentialing and certifications.
    • Responsible for ordering of supplies and ensures office equipment is maintained.
    • Screen calls and direct to appropriate parties.
    • Responsible for general office duties such as copying, filing, sorting mail and greeting visitors.

    Departmental Tasks –

    • Coordinate and maintain all Harvard and Broad Appointments for appropriate Department faculty and staff.
    • Schedule and prepare the agenda in partnership with Department leadership for the department faculty and staff meetings.
    • Distribute staff correspondence.
    • Manage Department conference room.
    • Special projects and tasks as needed.

    Qualifications

    • Bachelor’s degree preferred.
    • Relevant experience working in as an administrative support specialist required.
    • Demonstrated ability to draft correspondence and have exemplary oral and written communication skills.
    • Knowledgeable of computer applications including Microsoft Office, Microsoft Outlook, and Excel.
    • Strong customer service skills and the ability to interact professionally with peers, leadership and external contacts.
    • Must posses the ability to maintain confidentiality and pay attention to detail.
    • Excellent ability to organize, prioritize and follow-through.
