  • Overview

    The Network Operations Administrator is a position dedicated to supporting the needs of the Dana-Farber Cancer Institute Network. The network is currently comprised of 4 satellites and 3 physician practices but will continue to expand over the next few years. The Network Operations Administrator will provide administrative support for regulatory requirements, operational programs and new initiatives across all of the network sites. He/She will report to the Manager, Network Operations with associated reporting duties to the VP, Network Operations. The Network Operations Administrator serves as a liaison for network projects and issues and is responsible for collaborating and communicating with internal and external colleagues across the sites about day-to-day matters, as well as operational initiatives.


    • Human Resource Management
      • Facilitates Faculty Annual Review Process for Network providers
      • Updates cFTE by provider files
      • Supports Network MD recruitment process by placing JCO ads
    • Tracking and Monitoring all Network Contracts
      • Oversees and tracks satellite service level agreement evaluations and quality metric reporting
      • Maintains database for storing and monitoring Network Operations contracts
      • Supports clinical and operational work-flow creation and on-going review of all agreements
      • Creates and maintains contract metric tracking mechanisms to ensure compliance with various CMS, TJC and other regulatory requirements (e.g. patient rights, MassHIway, QAPI)
      • Works with numerous departments to obtain metric data for reports and dashboards
      • Creates Network TB schedules and processes MD payments according to contracts                                            
    • Operational Planning and Implementation
      • Assists in new program or work-flow development and execution across all network sites
      • Acts as a liaison to satellites and network facilities, promoting collaboration with Longwood
      • Assists on projects for satellite conversion and site openings
      • Acts as central point of contact for all NPCs across the satellite network
      • Works with satellite NPCs to enhance new patient processes and work-flows
      • Leads monthly satellite NPC meetings
      • Assists with standardization of operational work-flows across all network sites
      • May be asked to cover for various practice managers across the network
      • Provides coverage for New Patient Coordinators and Practice Coordinators across the network
      • Tracks monthly provider productivity through RVU reporting
      • Calculates and drafts monthly RVU letters for Network providers
      • Reports out on provider productivity criteria
      • Processes and monitors Network invoices and PO’s
      • Processes provider special pay forms for payroll
      • Assists with DPH, provider-based attestations and other regulatory requirements
      • Provides on-site go-live support during conversions and openings of new network sites
      • Helps create, track, and enroll operations staff in trainings
      • Assists with preparation for Joint Commission and CMS visits
      • Assists with implementation of new Faxcom and On-Base workflows
      • Drafts and implements Satellite Newsletter
      • Processes Rapid Heme/Oncopanel invoices
      • Assists with ongoing improvements and implementation of Telegenetics clinics at network sites
    • Other Duties, as assigned.
      • Adapts to continually changing health-care environment
      • General office management, conference planning, and faculty support
      • Develop plans to ensure maximum utilization of resources and efficient delivery of services, including assisting with review of work-flows and best practices in clinic. This may include facilitation of various multidisciplinary work-groups.
      • Provide administrative support including drafting and distribution of agendas, identifying action items and following up on next steps.


    • Bachelor’s degree required
    • 2+ years of administrative and/or customer service and health-care experience preferred
    • Must have a strong attention to detail and possess the ability to multi-task and problem solve on the spot
    • Excellent phone and email etiquette
    • Ability to work effectively as a team member and promote cooperation among staff members
    • Excellent organizational, communication and customer service skills
    • PC proficiency required
    • Ability to work variable shifts
    • Ability to develop in-depth knowledge of DFCI resources and key DFCI & affiliate contacts
