    These positions provide a variety of administrative functions to staff, faculty member/s or department/s. Uses various office software to produce reports, spreadsheets, presentations or other documents as needed. Requires knowledge of Institute policies and practices and may be required to interface with senior management, cross-organizations, internal and external customers and government and community officials which require considerable tact and diplomacy.


    Patient Assistance Administrative Specialist in the Division of Patient and Family Programs and Services

    Monday-Friday; 8:30am - 5:00pm


    Exciting opportunity to work collaboratively with patients and families, providers, staff, and volunteers to help address the financial burden that often accompanies a cancer diagnosis. Reporting to the Senior Director of Patient Care Services and the Resource Office Supervisor, the Administrative Specialist oversees coordination, processing, logistics, and programmatic functioning of all requests for patient and family assistance. Duties include database entry and maintenance, document scanning and processing; form creation, preparations and submissions; consistent communication with patients, family members, providers, staff, and volunteers; report generation; purchasing and inventory; maintenance of account balances; fund transfers; programmatic development and evaluation; and process improvement - all with the utmost attention to detail, accuracy, and regard to confidentiality and sensitivity to the population being served.



    • Process requests for assistance for income-eligible patients and families
    • Routinely process large purchase orders
    • Maintain gift card inventory – tracking distribution, ordering, and mailing.
    • Enter data into web-based database
    • Assist volunteers with patient assistance and troubleshooting for any questions
    • Facilitate the fulfillment of all bill assistance and other need requests 
    • Provide coverage for the patient parking program as needed
    • Provide financial data and patient vignettes for donor reporting
    • Collaborate with resource specialists and social workers in supporting patients and families
    • Communicate programmatic changes
    • Revise systems and processes as needed



    • Bachelor's degree in finance, accounting, or other business field preferred
    • Minimum of 2-3 years experience coordinating and performing administrative and/or bookkeeping duties in a health care environment
    • Excellent written and oral communication skills
    • Exceptional attention to detail
    • Excellent ability to organize, prioritize and follow-through
    • Knowledgeable of computer applications including Microsoft Office, Microsoft Outlook, and Excel
    • Ability to work both independently and collaboratively
    • Ability to communicate effectively with others, including patients and families, professional staff, stakeholders, and the community-at-large
    • Ability to take initiative, problem-solve, and exercise independent judgment
    • Demonstrated ability to coordinate complex projects and other assignments
    • Ability to handle multiple tasks in a team-oriented setting
    • Strong customer service skills and the ability to interact professionally with peers, leadership and external contacts.
