    Responsibilities

    GENERAL SUMMARY:

    The Assistant provides administrative support to one Director and one Associate Director level staff, including maintaining databases, managing correspondence, scheduling and preparing for meetings, managing calendars, filing, arranging travel, managing expense reports, and coordinating appointments.

    PRIMARY DUTIES AND RESPONSIBILITIES:

    • Create/maintain organizational and management systems and databases;
    • Assist Principal & Major Gifts team members in tracking prospects, completing next steps, distributing contact reports, and assist in annual and mid-course correction revenue planning;
    • Develop a working knowledge of ClearView, Event Management System (EMS), Excel, and other management information and tracking systems used by the Philanthropy office; run and prepare standard and ad hoc reports; update and analyze large Excel spreadsheets
    • Respond to calls from major donors and prospective donors;
    • Compose letters, e-mails, memos, briefings and reports;
    • Handle specific projects pertaining to disease centers and physicians staffed by manager/s, to assist in coordinating donor visits and donor hosted events;
    • Promptly process checks and gifts of securities, in coordination with gift processing and office protocols and handle terms of agreement and acknowledgements, investigate pledge status and gift payments as needed for donor inquiries and clarification for senior staff; work with other Philanthropy teams when necessary to coordinate appropriate designation and acknowledgement of gift;
    • Coordinate all materials in preparation for specific projects including: generating original correspondence, reports, mailing lists, follow-up materials, and acknowledgments;
    • Support Visiting Committees and other event needs (scheduling presenters, planning meetings, assembling donor/attendee information for event background, meeting materials, minutes, faculty needs, action items, follow-up and other committee communications throughout the year;
    • Collaborate with other teams within the Division of Philanthropy to ensure cross functional project success and accurate data capture
    • Answer phones, submit expense reimbursements, pull reports, file donor correspondence and giving, etc.;
    • Provide back-up support for front desk as requested;
    • Responsible for assisting the entire department, including other business units, in reaching financial goals.

    SUPERVISORY RESPONSIBILITIES:

    Reports to one Director and Associate Director level staff on Principal & Major Gifts III. This position has some supervisory responsibilities of interns/temps, but will seek major decision-making authority from direct supervisor/s. However, independent decision-making on day-to-day tasks and good judgment and respect are required for dealing with Institute donors, trustees, senior staff and confidential information.

    Qualifications

    MINIMUM JOB QUALIFICATIONS:

    Associate degree and/or administrative training degree required. As this level position is often considered a “base” for someone pursuing a Philanthropy career, a bachelor’s degree is preferred. 0-2 years of administrative experience.

     

    KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

    Excellent written and verbal communications skills are necessary with a strong orientation to customer service. Superior organizational skills and ability to manage a variety of fast-paced projects are key; attention to detail and the ability to think critically are essential in this role. Candidate should be proactive self-starter with the drive to grow and work both individually and as part of a team. Ability to prioritize work and balance long-term projects with day-to-day responsibilities. Confidently represent the Principal & Major Gifts team and DFCI when interacting and communicating with key leadership both internally and externally. Demonstrate a strong understanding and commitment to maintaining confidentiality of sensitive health and financial information. Competency in the Microsoft Office Suite, with a focus on Excel, is essential.
