    The Clinical Operations and Business Analytics (COBA) team is part of the strategic initiative at DFCI to enable the transformation of data into insights and actionable information to the different operational, clinical, and business departments across the institute.


    In pursuit of these goals, the COBA team is seeking to hire a seasoned, professional and energetic administrative support to a member of the Executive Management Group to provide varying degrees of  support which may include typing, filing, scheduling meetings, ordering/stocking of departmental supplies, managing subordinate support staff, acting as liaison with other Institute executives, developing policies and procedures, independently completing projects as assigned.


    • Will provide managerial, administrative, or secretarial support for executive and the team which may include supporting, managing and developing designated programs, or projects as directed. 
    • Job functions range and are focused on administrative matters related to program or project development and maintenance and individual executive support. Serves as the primary administrative contact for the COBA department.
    • Process various requisitions, purchase orders, personnel and other forms needed for administration of the department. Maintains the department Responsible Administrator (RA) role for Peoplesoft HR system.
    • Oversees department Purchasing card(s), online reconciliation, statement and receipts monthly submission to Accounts Payable in a timely manner. 
    • Provides knowledgeable and skilled general administrative support to senior executive. Duties to include advanced communications support, screening calls, and determining appropriate action in response to all inquiries.  Prepares documents and correspondence that may be highly confidential or politically sensitive in nature.  Plans and coordinates schedules, catering, conference room reservations and complex meetings with internal/external entities.  Coordinates conference registration and related travel logistics and expense reports applicable for reimbursement.  Participates in coordination of department/program activities and plans and coordinates administrative compliance-related actions.  Ensures reports and other documents are prepared in a timely manner.  Manages the executive's calendar; triages issues as they arise; may act as the executive's designee in specified areas as directed.


    • Bachelor's degree preferred or equivalent experience or training. College level course work highly desirable.
    • 3-5 years experience in an office setting required, preferably supporting a senior executive or professional group.
    • Experience working in a corporate and/or academic medical setting or comparable technology-oriented business environment is highly preferred. Demonstrated ability to foster a professional environment and perform his/her duties with diligence and high discretion.
    • Excellent communication skills - English language, reading, writing and speaking required.
    • Demonstrated ability to independently draft reports, correspondence and other administrative documents as needed.
    • Demonstrated ability to organize meetings and carry out complex scheduling required.
