  • Overview

    Under the direction of the Senior Director of Supply Chain and in collaboration with organization leadership, Information Systems, Operations support, Quality and Safety the Supply Chain Compliance & IT Specialist will develop standards of performance that align with regulatory and accreditation quality and safety standards pertaining to Supply Chain functions. The incumbent will organize and lead policy review, manage Quality Assurance and Process Improvement (QAPI) projects, assist with accreditation/reaccreditation, and ensure compliance with regulatory, accrediting agencies and any internal and external audits. The Specialist will facilitate, and lead meetings comprised of representatives from various departments to create productivity and quality/safety measures, monitor trends, and develops action plans to achieve the highest quality, productivity and compliant/safe practices. The Specialist will be responsible for ongoing tracking of implemented standards from regulatory and accreditation agencies that include, but not limited to The Joint Commission, Centers for Medicare and Medicaid Services and the Office of Measures and Budget (OMB). The incumbent will also work with the DFCI QAPI to ensure quality and compliance with contract performance oversight. The Specialist is also responsible for production systems support within Supply Chain which includes Purchasing/Contracts, Central Sterile, Warehouse/Logistics, Friends Place and Friends Gift Shop. This individual will strive to optimize departmental productivity and streamline systems support. Acts as a liaison to key stakeholder departments such as Accounts Payable, Finance, IS, Pharmacy, HR, Clinical, Satellites, Administration, Quality and Research. Participates in various organizational committees to improve operational effectiveness and efficiencies.

     

    Responsibilities

    • Provides broad and general oversight and support for all Supply Chain information systems and software including but not limited to: PeopleSoft, Ariba, GHX, Prodigo...
    • Serve as the lead for the Supply Chain Technology Committee and participates as a team member on various institutional and departmental committees.
    • Facilitate meetings, develop action plans, and hold stakeholders accountable for applicable QAPI initiatives.
    • Lead efforts to extract new data/reports specific to quality and safety from various system databases
    • Analyze and compile data into professional presentation and reporting formats.
    • Works with departmental leadership to maintain a constant state of inspection and survey readiness
    • Participate and represent DFCI Supply Chain on multidisciplinary, inter-departmental, and/or inter-institutional process improvement projects.
    • Effectively communicate productivity, quality and safety related updates to staff.
    • Provides education, training, and best practice techniques via written, electronic, or oral presentations to existing staff as well as incoming staff.
    • Assist in arranging professional development presentations.
    • Performs routine audits of systems, documents and observes workflows to ensure policy compliance.
    • Investigate and perform Root Cause Analysis on related events.
    • Ensure regulatory and accreditation compliance of current Supply Chain functions.
    • Provides updates and/or presentations to various institutional committees (Quality Improvement, Institutional Safety Committee...)
    • Partner with other leaders throughout DFCI network on quality and safety initiatives (Infection Control, EH&S, Facilities, etc.).
    • Understand, communicate, and effectively promote customer service.
    • Work collaboratively with internal and external customers to focus efforts on system changes that will bring the greatest ROI.
    • Collaborates with Supply Chain Strategic Sourcing and Contracts Director and Managers to implement appropriate strategic purchasing programs that improve the performance of supply chain.
    • Collaborates with key stakeholders to plan, prioritize, and implement system programs that contribute to Institute's strategic objectives.
    • Collaborates with but not limited to IS, Finance, Accounts Payable, Supply Chain and Human Resources to design, develop, maintain and integrate all supply chain system recommendation improvements as appropriate.
    • Analyze contracting, procurement and inventory metrics and benchmarks. Recommend improvement and changes based on local and market trends.
    • Serves as primary liaison for installations, upgrades, maintenance and fixes for all Supply Chain department systems.
    • Perform level 1 trouble shooting on system issues requests.
    • Triage, investigate, resolve and or escalate systems issues as appropriate.
    • Manage and conduct user training.
    • Support and monitor all annual inventory and cycle counts as needed.
    • Focus on industry best practices and maintain metric report.
    • Develop and implement internal policy and procedures for supply chain information systems.
    • Collaborate with supply chain leaders in the creation and implementation of system queries.
    • Performs other related duties as assigned.

    Qualifications

    • Bachelor’s degree in Business, Logistics or Management preferred. MBA desirable.
    • Minimum of 5 years’ experience with healthcare ERP and systems.
    • Project management and/or process improvement experience preferred.
    • Knowledge of applicable policy, regulatory and accreditation standards.
    • Strong personal computing skills, knowledge and ability to use Microsoft Office (Word, Excel, PowerPoint, etc.).
    • Experience in the use of ERP technology to examine and analyze data to evaluate the results of sourcing strategies and implement appropriate program changes; PeopleSoft experience preferred.
    • Excellent organizational, customer service, analytical and problem-solving skills.
    • Experience in healthcare supply chain environment preferred.
    • Experience in designing and implementing supply chain systems and programs preferred.
