    Responsibilities

    GENERAL SUMMARY:

    The Senior Development Associate, Campaign Planning provides administrative and strategic support to the Associate Vice President. The ideal candidate will possess strong writing, listening, and note-taking skills, and be a masterful multi-tasker with the ability to manage shifting priorities at a moment’s notice. The candidate should also have experience with data analysis, project management, and presentation preparation skills, as well as an acute attention to detail.

    Responsible for assisting the entire Division with reaching financial goals.

     

    PRIMARY DUTIES AND RESPONSIBILITIES:

    • Support the Associate Vice President by assisting with phone messages, correspondence, mail, and calendar;
    • Schedule meetings, prepare agendas, compile/create meeting materials, take/prepare meeting minutes, and prep Associate VP;
    • Make travel arrangements, as appropriate, for Associate VP;
    • Collaborate with the Associate VP to manage the campaign budget, including reconciling expense reports and P-card charges;
    • Compose, type, and mail correspondence, memos, and reports;
    • Draft and revise campaign policies and how-to documentation, as needed;
    • Prepare monthly/quarterly/annual, forecasting analyses, proof all planning/reporting documents, draft/proof executive summaries of planning/reporting documents, and design and produce written material such as charts, proposals, and PowerPoint presentations;
    • Serve as a “super user” of the fundraising databases and reporting software (ClearView, EMS) and demonstrate expertise with Excel, Word, PowerPoint and other management information, productivity, and tracking systems used by the Development Office;
    • Maintain Live Link Campaign resources and Campaign server folders and files;
    • Manage logistics for Campaign committee meetings;
    • Liaise with staff in other Units on behalf of Associate VP, as appropriate;
    • Order office supplies;
    • Maintain confidentiality regarding donor information;
    • Other projects as necessary.

     

    SUPERVISORY RESPONSIBILITIES:

    • Reports directly to the Associate Vice President, Campaign Planning
    • This position will seek decision-making authority from direct supervisor, however, independent decision-making on day-to-day tasks and good judgment is required for dealing with Institute donors, trustees, senior staff, and confidential information

    Qualifications

    MINIMUM JOB QUALIFICATIONS:

    • Bachelor’s degree is required with 2-3 years of administrative experience highly desirable

    KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

    The applicant should be poised, mature, and professional to work with a variety of personalities including Institute staff, physicians, trustees, and key donors. A high degree of confidentiality must always be exercised. The candidates should also have:

    • Excellent written, verbal, and listening skills
    • Expertise with numbers and Excel spreadsheets; the ability to strategize data needs and analyze output
    • A keen eye for details and strong proofreading skills
    • Strong presentation preparation skills, including experience creating PowerPoint presentations
    • Superior organizational and project management skills
    • Superior multi-tasking abilities and a strong aptitude for prioritizing tasks
    • Effective and efficient time-management abilities
    • A self-starting attitude with a strong sense of resourcefulness
    • The ability to work independently and as a member of the team

    Workstation located in typical office setting. Some over-time, evening and weekend work is required. Some use of personal vehicle for business purposes may be required.
