The Phyllis F. Cantor Center is the research center for a multidisciplinary department in an ambulatory cancer care setting affiliated with the Dana-Farber/Harvard Cancer Center. Our mission is to reduce the burden of cancer through scholarly inquiry and rigorous clinical research focused on the patient/family experience of living with a predisposition to, a diagnosis of, or survivorship of, cancer.


    The Cantor Center seeks and Administrative Specialist to provide administrative support to the Director, faculty, and staff in a dynamic and fast-paced research environment.


    Primary Responsibilities:

    • Complex calendar management for Director of Center and Nurse Scientists, as well as other staff as needed (internal and external meetings/events)
    • Scheduling meetings for Director, Nurse Scientists, and Cantor Center staff and providing logistical support
    • Coordinates travel arrangements for individuals supported, and as necessary postdoctoral candidates and visiting speakers or consultants
    • Prepares and submits monthly expense reports, reviews and reconciles departmental credit card purchases, processes requests for vendor payments
    • Assists with the orientation of new staff members
    • Coordinates office moves and relocations
    • Document preparation and maintenance, including CVs, correspondence, references, Excel spreadsheets, PowerPoint presentations and manuscript preparation as needed; establishing and maintaining filing systems and online project workspaces
    • Ordering office and project supplies using institutional requisitioning system
    • Triaging phone calls and responding appropriately to all inquiries; responsible for general office duties such as copying, filing, faxing, maintaining contact lists, sorting mail, greeting visitors, and general cleanliness of office area

    Additional Responsibilities:

    • Responsible for maintaining department website with up-to-date, current/relevant information on the DFCI internet; liaison with Communications department for revisions/updates to public website
    • Building issues: submit work order requests on behalf of staff e.g. signage, lighting, heating; serve as liaison with building management as well as DFCI Facilities




    • Bachelor's degree preferred
    • Minimum of 3-5 years relevant experience working in an academic research setting or comparable business environment is preferred.
    • Exemplary written and oral communication skills.
    • Must possess good judgment, strong personal initiative and the ability to work independently on multiple assignments at once.
    • Advanced experience with MSOffice and Outlook required. Proficiency in Adobe Acrobat and graphic design software preferred.
    • Strong customer service skills and the ability to interact professionally with peers, leadership and external contacts.
    • Must possess the ability to maintain confidentiality and pay attention to detail.
    • Excellent ability to organize, prioritize and follow-through. 

    Preferred Skills

    • Experience in copyediting, graphic design & brochure creation:
      • Design & produce graphic presentations, patient study-related brochures, and conference posters for large-scale events (nationally & internationally)
      • Format, proofread, edit & create graphic elements for publications, scholarly manuscripts, grant submissions & IRB review
      • Advise/assist DFCI staff with posters and PowerPoint presentations
