    Responsibilities

    GENERAL SUMMARY:

    The Development Assistant provides administrative support to the Associate Director of Corporate Partnerships, Assistant Director of Jimmy Fund Radio-Telethon, and other team members as needed. The Development Assistant assists with logistics and details of WEEI/NESN Jimmy Fund Radio-Telethon and Fantasy Day at Fenway Park, including leading volunteer recruitment. The Development Assistant also coordinates tracking of corporate and individual donor visits, prepares Quarterly Corporate Partnership Update, drafts sponsorship agreements, assists with follow-up and fulfillment of corporate sponsorships, and assists in the planning of Annual Corporate Partners Summit.

    PRIMARY DUTIES AND RESPONSIBILITIES:

    • Assist with planning and execution of Jimmy Fund Fenway Fantasy Day and WEEI/NESN Jimmy Fund Radio-Telethon events and logistics;
    • Act as volunteer coordinator for Radio-Telethon and Fantasy Day, including recruitment and stewardship
    • Maintain a tracking record and contact list of corporate sponsors;
    • Assist with planning and execution of annual Corporate Partnerships Summit event, including post event analysis and reporting;
    • Assist with the organization, creation, editing, and distribution of quarterly Corporate Partnerships Update e-communication;
    • Respond to calls and visits from volunteers, sponsors, corporate contacts, event managers, and inquiries at large;
    • Provide administrative support surrounding corporate outreach;
    • Schedule meetings, make travel arrangements; compose, type and mail/fax correspondence and reports;
    • Work with vendors when purchasing promotional materials and items;
    • Work with Gift Processing on routing and listing of checks;
    • Distribute correspondence, copy materials, prepare monthly credit card report; fulfill purchase orders and invoices; answer phones, etc.
    • Coordinate all materials in preparation for specific projects including: generating original correspondence, follow-up materials, acknowledgements, and awards.

    SUPERVISORY RESPONSIBILITIES:

    • Reports to Associate Director of Corporate Partnerships and Assistant Director of Jimmy Fund Radio-Telethon. This position has some supervisory responsibilities of volunteers, but will seek major decision-making authority from direct supervisor. However, independent decision-making on day-to-day tasks and good judgment is required for dealing with Institute donors, trustees, senior staff, event managers and confidential information.

    Qualifications

    MINIMUM JOB QUALIFICATIONS:

    Associate degree and/or administrative training degree required. As this level, position is often considered a “base” for someone pursuing a Development career, a Bachelor’s degree is preferred. 0-2 years of administrative experience. Willingness and aptitude to initiate contact with donors, sponsors, and prospects.

     

    KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

    Excellent written and verbal communications skills, are necessary with a strong orientation to customer service. Superior organizational skills and ability to manage a variety of projects are key. Directed and self-starting attitude with the ability to work independently as well as part of a team and work with a variety of personalities. Solid computer skills and competency in Microsoft Office Suite products is absolutely necessary. High degree of confidentiality must always be exercised.

    WORKING CONDITIONS:

    Workstation located in typical office setting. Requires light to moderate lifting for event set-up. Some travel and weekend work is required.
