    Responsibilities

    GENERAL SUMMARY:

    The Senior Development Assistant provides administrative support for the Assistant Vice President of Online Marketing and the Online Marketing team.

    Responsible for assisting the entire Division with reaching financial goals.

     

    PRIMARY DUTIES AND RESPONSIBILITIES:

    • Manage all administrative functions, such as calendar management, meeting scheduling and agendas, vendor correspondence, phone coverage, etc for AVP of Online Marketing
    • Coordinate Online Marketing team meetings and yearly planning meeting
    • Coordinate all MasterCard reconciliations and purchase order (PO) requisitions
    • Create and update team budget reconciliation
    • Review and analyze email opt-out response data and compile into quarterly report
    • Develop online surveys as needed
    • Develop a working knowledge of resource software, including ClearView, PeopleSoft, and project management software
    • Review the Dana-Farber and Jimmy Fund e-mailbox twice daily; routing questions/requests accordingly; ensuring all questions/requests are answered promptly
    • Assist in the monitoring and community management of the Jimmy Fund social media pages (Facebook, Twitter, Instagram, etc.)
    • Assist in social media analytics and reporting. Help the Social Media Team optimize on trends happening online  
    • Assist in brainstorming sessions for social media campaigns centered around cancer awareness months and days
    • Create monthly email report and other reports as assigned
    • Serve as a key liaison with Human Resources for open Online Marketing positions, including routing/screening of resumes and coordination of interviews with candidates
    • Format documents (Word, PowerPoint, Excel, etc.) for presentation and distribution to senior staff
    • Register staff for conferences and membership in professional organizations and coordinate travel logistics and expenses
    • Organize and archive project files
    • Purchase all team-related resources and supplies
    • Conduct basic research to support new marketing initiatives
    • Create and maintain team organizational and information management systems
    • Other duties as assigned Reports to Assistant Vice President of Online Marketing. Independent decision-making on day-to-day tasks and good judgment is required for dealing with Institute donors, trustees, and senior staff and handling confidential information.

    Qualifications

    MINIMUM JOB QUALIFICATIONS:

    Associate degree and/or administrative training degree required, Bachelor’s degree preferred. 1-2 years of administrative experience preferred, as is knowledge of marketing communications.

     

    KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

    Superior organizational skills and ability to manage a variety of projects are key. Directed, self-starting, and positive attitude are essential, with the ability to work independently as well as part of a team with a variety of personalities. Solid computer skills and competency in Microsoft Office Suite products is necessary.
