This job family is key to the operations and administrative support required by department managers. In large departments, Program Administrator II's may serve as supervisors for administrative support staff. As a whole, administrative support staff will manage or support programs of different magnitudes; will support assigned number of principals or staff members; will provide support of various leadership levels requiring appropriate ability to manage confidential, or time-sensitive information; may be assigned to or lead departmental or institute teams.



  • Work with CCSB managers on financial tracking and reporting, preparation of expense reports, reviewing p-card expenses and tracking all receipts
  • Facilitate calendar management and travel arrangements for CCSB managers
  • Manage and maintain NIH biosketches and CVs for CCSB managers
  • Serve as hiring manager for CCSB, coordinating with the department financial staff and DA, including all required paperwork and managing onboarding of new staff.
  • Prepare the forms required for the Harvard appointment process.
  • Track Employee compliance
  • Provide scientific writing and editing to support grant applications and manuscripts
  • Maintain databases from information curated from the literature related to ongoing scientific projects
  • Provide support to update CCSB website, social media presence, and other marketing materials as needed
  • Program Administrative II's supervise other administrative support staff. 
  • May manage personnel-related administrative procedures for a group or department; including professional staff recruitment support; academic and hospital appointment administration; coordination of annual professional staff review process; institutional and individual training grant administration.
  • May have oversight of administrative services and operations for group. 
  • May be responsible for compiling budget information and account reporting and analysis for department manager. 
  • Provides general administrative support, including document preparation, data entry, greeting and assisting visitors, filing, telephone support, patient scheduling assistance, copying, maintaining supplies, etc. May provide some guidance, mentoring, or supervision to Program Admin I's. Other duties as required.



  • Bachelor of science degree or equivalent and a minimum of five years experience in a scientific or health care setting with demonstrated experience in managing program components.

  • Strong computer skills are essential, notably using software such as Microsoft Office, Adobe Suite, and EndNote.

  • Ability to work with standard website design and editing desired.

  • Energetic individual with interest in research.

  • Strong analytic, problem-solving, organizational, and communication skills required.

  • Ability to work independently, implement changes, be proactive, and set priorities.

  • Ability to absorb new information quickly, to anticipate needs, and to work effectively with diverse groups of people within all levels of the organization.

  • Scientific background/understanding of research environment and hands-on experience in the preparation and editing of manuscripts and research grants is required.

  • Excellent English language reading, writing, and speaking skills required.
  • Extremely responsive, by phone and email, as deadlines come up often and frequently.
